REPRESENTATIVE DUTIES:
 Perform a variety of clerical duties including typing, duplicating and distributing materials; process various forms
and applications as needed; assist in assuring smooth and efficient office operations.
 Prepare and maintain logs and records related to attendance and assigned activities; establish and maintain
filing systems; review and verify the accuracy and completeness of various documents; prepare reports as
directed.
 Input or scan attendance and other data or forms into an assigned computer system and generate computerized
lists and reports; maintain automated records; assure accuracy of input and output information.
 Operate a console telephone to receive incoming calls; take and deliver messages; route calls to appropriate
personnel; schedule meetings and appointments as directed.
 Receive, greet and direct visitors as appropriate; provide a variety of routine information to staff, students,
parents and the general public.
 Operate a variety of office equipment including a typewriter, calculator, copier, fax machine, computer and
assigned software.
 Participate in a variety of attendance functions such as issuing admittance slips, collecting and processing
attendance forms, maintaining records and verifying excused and unexcused absences.
 Type letters, reports, lists or other materials from oral or written instructions; compose routine correspondence;
proofread completed typing assignments and other documents as directed.
 Communicate with other departments, District staff and outside organizations to exchange information and
resolve issues or concerns related to assigned activities.
 Collect and compile information, documents and data from files and records to be included in reports and files.
 Assist in monitoring inventory levels of office supplies and materials; assist with ordering, receiving and
maintaining inventory of office supplies and materials.
 Participate in variety of other assigned activities such as assisting with student registration, maintaining student
files, generating student transcripts and assisting with testing activities.
 Assist with administering basic first aid to students and staff as assigned by the position; prepare and maintain
related records; administer medications as directed; notify parents of ill or injured students as needed.
 Perform related duties as assigned.

KNOWLEDGE AND ABILITIES:
KNOWLEDGE OF:

 Modern office practices, procedures and equipment.
 Filing and record-keeping techniques.
 Basic report preparation techniques.
 Oral and written communication skills.
 Telephone techniques and etiquette.
 Correct English usage, grammar, spelling, punctuation and vocabulary.
 Interpersonal skills using tact, patience and courtesy.
 Operation of a computer and assigned software.
 First aid and CPR procedures.

ABILITY TO:
Perform typing, record-keeping and general clerical duties at an assigned school site.
Answer phones and greet and assist District personnel, students, parents and visitors
Learn various software systems utilized by the District.
Learn, interpret and explain rules, regulations and policies regarding assigned school office.
Understand and follow oral and written directions.
Type or input data at 35 words per minute from clear copy.
Communicate effectively both orally and in writing.
Establish and maintain cooperative and effective working relationships with others.
Operate a variety of office equipment including a computer and assigned software.
Maintain logs, lists and records.
Compile data and prepare reports.
Complete work with many interruptions.
Meet schedules and time lines.
Administer first aid and CPR.

WORKING CONDITIONS:
ENVIRONMENT:

 Office environment.
 Constant interruptions and noise.
PHYSICAL ABILITIES:
 Dexterity of hands and fingers to operate a computer keyboard and office equipment.
 Sitting or standing for extended periods of time.
 Kneeling and bending.
 Reaching horizontally and overhead to retrieve and maintain files and to store supplies and records.
 Lifting and carrying light objects.
 Hearing and speaking to exchange information in person and on the phone.
HAZARDS:
 Incumbents may be exposed to contact with angry or dissatisfied individuals and sick or bleeding students.
EDUCATION AND EXPERIENCE:
 Bilingual Preferred
 High School Diploma or equivalent REQUIRED.
 Three or more years of work in a related field with increasing responsibility PREFERRED.
