Administrative Assistant
TRISTAR Insurance Group, Inc Rancho Cordova, CA USA



POSITION SUMMARY: Under general supervision, performs clerical and administrative work to assist Branch Manager and claims staff in daily operations of claims office.


DUTIES AND RESPONSIBILITIES:
● Processes internal and external reports as directed by Manager.*
● Recaps and reconciles monthly invoices and allocates to departments.*
● Coordinates maintenance of facility and equipment within office.*
● Orders office supplies, ensuring timely and accurate deliveries.*
● Organizes and maintains office supply room ensuring accurate count of back-up supplies.*
● Develops forms and spreadsheets for claims and administration use.*
● Organizes and maintains files for administration, budgets, and monthly statistics.*
● Performs receptionist duties as needed.
● Compiles statistical reports and adds to existing report binders.*
● Coordinates the vendor calendar and makes appointments with vendors ensuring no overlap.*
● Composes and types routine correspondence.
● Coordinates and arranges meetings and prepares meeting rooms and meetings documents.
● Coordinates incoming and outgoing mail and e-faxes and routes documents to correct recipient.*
● Copy, scan, and fax documents as needed.*
· Other duties as assigned

QUALIFICATIONS REQUIRED:
Education/Experience:
● High school diploma or GED (minimum).
● One (1) year experience working in administrative office environment.
● Knowledge, Skills and Abilities:
● Ability to prioritize multiple tasks and meet strict deadlines.
● Possess very strong written and verbal communication skills.
● Aptitude for accurate, detailed work and meeting deadlines while maintaining high quality work product.
● Possess strong organizational and recordkeeping skills
● Courteous telephone skills.
● Proficient keyboarding skills and 10-key operation.
● Ability to work independently, as well as in cooperation with work group.
● Working knowledge of Word and Excel.


Other Qualifications:

Experience working in an insurance office in an administrative capacity desirable.
