This position is the first point of contact between Members and the Club Lincoln staff who answer questions, validate Club membership and monitor Club activities. Knowledge of Excel and Word will aid in the completion of various administrative duties and reports. A professional appearance, and a friendly, helpful demeanor is required. PERFORMANCE REQUIREMENTS include the following (in no particular order). Other requirements may be assigned. * Take calls from board members, homeowners and vendors and handle the matter or refer to the appropriate staff member. * Consistent use and maintenance of information in Connect. * Association holds various social events for Members and their guests and staff may be required from time to time to assist with set up, food purchase, and other event preparations and/or to work the event as assigned. * Must have reliable transportation and be able to run general work-related errands as requested. * Open, review, separate, date-stamp and distribute mail received. * Process any Federal Express or courier packages for Community Management staff * Support staff as requested to complete filing, typing, administrative duties of board packet, completion of letters, flyers and other communications as requested. * Complete Club Reservation applications, handle the member's check-in and check-out for the event; close event application and collect/bill appropriate charges and fees. * Operate and manage the Access Card and Automatic Gate/Door System * Operate and manage the office telephone system. * Ensure Club access applications are completed in a thorough manner. Issue/disable access cards to Members per policy and reflect such action in homeowner files and Connect and/or other assigned database. * Assist in the assembly/mailing/postage of mass mailings. * Make every attempt to enforce Club Lincoln Rules and Regulations, including Member's access to Club Lincoln. Support other staff efforts in this regard. * Assist with light general maintenance and set up may be required occasionally (ie community room furniture set up/take down; exterior lighting timers; discard trash; light kitchen clean up, etc.). * General filing, copying and other administrative duties as may be required. * Maintain an organized and clean workspace according to company procedures. * Complete company training as assigned, attend all mandatory company functions, complete time card as per policy and adhere to FirstService Standards of Operation. * Attend all company mandatory functions * Comply with company policies and procedures * Other duties and assignments may be required QUALIFICATIONS: To perform this job successfully, and individual must be able to perform each essential duty satisfactorily (performance requirements). Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. -Must be knowledgeable and adept with Microsoft Outlook, Word, Excel and Publisher -Must have administrative background and be able to demonstrate organizational skills and the ability to prioritize -Demonstrates effective oral and written communication skills -Must be able to independently answer and place telephone calls -Must have excellent customer service skills -Must be able to handle multiple tasks concurrently -Public charisma and ability to develop positive relationships -Organizational and time management skills with demonstrated ability to multi-task. -Strong ethical practices -Ability to think and work independently and as part of a team. -Works effectively with co-workers, clients, customers, and others by sharing ideas in a constructive and positive manner -Addresses problems and issues constructively to find mutually acceptable and practical business solutions -Use of good judgment -Weekend work required HOURS: Club Lincoln is open seven days a week and scheduled hours may be as late as midnight if a private event has been scheduled. Position allows for 15 - 24 hours per week or more as needed. Days and hours of work will vary but are mostly are scheduled for late afternoons, evenings and/or weekends. Less hours are scheduled in the winter (November -- April) but increase during the summer months (May - September). Days and hours of work will vary. Club Lincoln is open for most Holidays (except on Thanksgiving Day, Christmas Day, New Year's Day and Easter Sunday). This is a part-time position, up to 30 hours/week, including weekends. EDUCATION and/or EXPERIENCE: -High School Graduate or equivalent -Two (2) year or four (4) year college degree preferable. -Minimum of one-year (1) administrative assistance work, preferably in the public or private sector of recreation.
